Workflow Orchestration for Data Centre Operations: Connecting Monitoring, Billing and Maintenance in Real Time

The hard part of a data centre begins after the ribbon is cut. Once live, a facility becomes a continuous operation where monitoring systems, billing platforms, customer management tools, and maintenance workflows must agree with each other every minute for decades. Most operators run each of those systems well in isolation. Failures happen in the gaps between them, and workflow orchestration closes those gaps.

The cost of disconnected operations

Data centre economics punish silence between systems:

In Indonesia, where capacity is nearly doubling from 500MW in 2025 to 900MW in 2026, every new megawatt multiplies the volume of events flowing between systems that were never designed to talk to each other.

Where the gaps appear

Monitoring detects, but nothing happens

DCIM and BMS platforms raise alerts continuously, but if a power anomaly doesn’t automatically create a maintenance ticket, notify affected customers, and log a potential SLA event, a human must remember to do all three at 3am during an incident.

Usage happens, but billing lags

Colocation and cloud billing depends on metered power, space, and cross-connect data. When that data reaches the billing platform by monthly export, revenue leaks through unbilled usage, disputed invoices, and delayed recognition of contract changes.

Maintenance runs, but finance cannot see it

Preventive maintenance consumes parts, labour and contractor spend that must land in the ERP as project and asset costs. Disconnected maintenance systems leave finance reconstructing operational reality weeks later, which corrodes both cost control and asset accounting.

What workflow orchestration delivers

Orchestration platforms connect operational and financial systems into event-driven flows. In the architecture we deploy, each layer has a defined role:

  • Workato for real-time alerts and orchestration. Workato listens for events across monitoring, ticketing, and customer systems and triggers multi-step workflows instantly: an alert becomes a ticket, a notification, an SLA log entry, and an escalation path without human relay.

  • Celigo for ERP, billing and operations integration. Celigo maintains standing data pipelines between billing platforms, operational systems, and the ERP, so metered usage, contract changes, and maintenance costs flow continuously into the financial core.

  • NetSuite as the central backbone. NetSuite holds the single financial and operational record: customers, contracts, assets, projects and the ledger. Orchestrated events land here, enabling real-time billing accuracy, SLA credit tracking, and true cost-to-serve visibility.

The result is an operation where the time between something happening and every relevant system knowing about it approaches zero, exactly what the industry’s uptime economics demand.

Our approach

We design and implement this connected architecture for data centre operators across Southeast Asia, combining NetSuite, Celigo and Workato into one orchestrated stack. As a multi-year winner of NetSuite’s ASEAN Partner of the Year award with 18 years in the region, we understand both the financial backbone and the local operating context Indonesian facilities run in.

A data centre sells reliability. Its own systems should embody it. Speak to our team about orchestrating yours.
